Wide Open Ventures is looking for a fractional, high-trust Circle Community Admin & Facilitator to run the day-to-day operations of our cohort platform—and to make sure every participant has a smooth, well-organized learning experience.
This role is ideal for someone who’s detail-obsessed, comfortable owning a platform end-to-end, and can move between technical admin work and participant-facing facilitation without missing a beat.
This is a fractional/contract position, expected to start August 15. Hours and rate to be scoped based on cohort needs.

Circle Community Admin & Facilitator – Job Description
Position Overview. We are looking for a Circle Community Admin & Facilitator to serve as the operational backbone of our cohort platform. This role blends technical platform administration (setup, permissions, publishing) with content build-out and client-facing facilitation. The right person will bring meticulous attention to detail, sound judgment, and a steady hand — ensuring the platform runs smoothly, content goes out error-free, and participants feel supported throughout the cohort.
Job Responsibilities & Duties
Platform Administration
- Own Circle setup and configuration for each cohort (Spaces, Space Groups, Access Groups, custom Invite Links)
- Manage member access and permissions, including segmented groups (e.g., by organization size or cohort)
- Troubleshoot platform issues for participants and staff
- Build out and publish content (Course lessons, Activities, announcements) on schedule
Content & Instructional Design
- Build out course content structures, including screen-recorded platform interface walkthroughs
- Maintain and improve navigation/UX across spaces, balancing simplicity with functionality
- Review all outgoing content (PDFs, announcements, lesson pages) closely for errors before publishing
- Curate and keep resource materials up to date
Facilitation & Participant Support
- Lead platform walkthroughs/onboarding sessions for new cohorts
- Support participant engagement (posting discussion prompts, monitoring activity spaces)
- Serve as a friendly first point of contact for participant questions about the platform
Reporting
- Pull and organize reporting from Circle (quiz results, engagement data, etc.)
Qualifications & Key Competencies
- Experience administering a community or LMS platform (Circle experience a strong plus; Mighty Networks or similar also relevant)
- Strong attention to detail and reliable follow-through
- Comfort with light project management tools (Asana)
- Instructional design sensibility — understands what makes a learning community easy to navigate versus confusing
- Confident, professional communication style for direct participant interaction
- Ability to work independently on a fractional basis with quick turnaround during cohort launch periods
